Many club managers find it difficult to write to sponsors. What do you write? How long? How do you sell without seeming pushy? You can use this email template straight away — customize it, send it, plan a follow-up. We explain what needs to be in a good sponsorship email.
What a good sponsor email does
- Short – maximum one screen page
- Specifically – package or benefits in numbers
- Professional - link to the club website, no spelling errors
- With a clear request - appointment, callback or answer
Email template to copy
Subject: Partnership [company name] × [club name] — visibility among [X] families in [location]
Dear [salutation last name],
My name is [Your Name], I am [Function] at [Club Name]. We play in [league/region] and have [number] members - many families from [district/town] come to training and games with us every week.
We are looking for partners from the region who want to make their brand visible to exactly this target group. We reach [number] visitors per month on our website [URL]; On match day, [number] spectators see our banners on the pitch.
We offer clear sponsorship packages - from the logo on the website (from [price] €/season) to the main placement on jerseys. You can find all services here: [Link to partner page]
Would you have 15 minutes for a short conversation - by phone or at your location? I would be happy to show you what a partnership can actually look like.
Kind regards
[Your name]
[function] | [Club name]
[phone] | [Email]
[Website URL]
Replace all placeholders in square brackets. If you don't have a partner site yet: test it for free and set it up in an hour.
Adjustments depending on the company
Bakery / Gastronomy: Emphasis on families, Saturday game day, “Your customers are our members”.
Crafts: Emphasis on local ties, neighborhood, visibility in [location].
Larger company: Professional tone, reach figures, possibly CSR reference.
What you shouldn't write
- “We urgently need money” - seems helpless
- Long club history with no connection to the sponsor
- No link to the website - seems dubious
- Multiple PDF attachments - end up in spam or not opened
After the email: Follow-up
Day 5-7: Quick reminder. "Have you had a chance to look at our packages? I look forward to a short conversation."
Day 14: Last attempt or personal visit. Many yeses only come at the second contact.

Subject lines that are opened
- “Partnership [company] × [association] — [number] families in [location]”
- “Visibility for [company] at [club name]”
- “Quick question about the regional partnership”
Avoid: “Donation wanted”, “We need money”, “Help for our club”.
Attachment or link?
No PDF attachment in the first email - risk of spam. Link to the partner page on the website is enough. PDF according to interest in conversation.
Timing: When is the best time to reach sponsors
Avoid December and peak holiday periods. Strong: August/September (start of season), January (new budget for companies), after noticeable successes (promotion, big tournament). Then the website with fresh news is the most convincing.
Personalize every email: company, contact person, a sentence why exactly this company is suitable. No mass email with 50 BCC - you'll notice that straight away.
After the phone call
Email with link to the partner page, PDF package overview, suggested appointment. Send within 24 hours of a good conversation - otherwise interest will cool down. Short, grateful, concrete.
Club portal in everyday club life
KlubPortal combines website, game plan synchronization, optional app and player management in one interface that volunteers without an IT background can use. Instead of five tools with five logins, you maintain data once - it appears everywhere members, parents and sponsors look. This not only reduces costs, but above all friction on the board: less “Who has the current list?”, less duplicate maintenance on the weekend, more time for sports and partnerships.
Many clubs start with the club website, expand with app and player management as soon as the benefits become visible in everyday life. You can find an overview on the Football Clubs page; The Prices help with budget planning. If you are unsure whether the next step is right: test it for free and check it in real day-to-day club life - not just in theory.
Conclusion: The template is the start - the website is the proof
Writing to sponsors using a good email template saves time and appears professional. What's crucial is that when the sponsor clicks on your URL, they need to see a club they trust.
